As a business, our ambition is to be a leading global MEP consultancy and as a purposeful employer, our Document Control Team is critical to our overall success.

Reporting to the Lead Document Controller, this role will work in collaboration with and will support our project teams in the management of project documentation between ourselves and external parties using electronic document management systems and spreadsheets. You will be the final check to ensure documentation is correct before it is issued to external parties.

You will work closely with teams to ensure deadlines are met, joining a dedicated centralised Document Control Team that will help and support you, working with all our offices across UK and Europe.

The ideal candidate will have experience in document control within the construction industry.

We have ambitious growth plans, so key priorities will include:

  • Ensuring project deadlines are met
  • Working closely with project teams to ensure documentation goes out right first time

This is a hands‐on role, working closely with several internal and external teams alongside local leaders and engineering teams to ensure the required level of resource is in place to deliver the objectives and KPI’s of projects.

Your recommendations, conversations, and plans are based on a thorough understanding of both internal and external data and insights. By maintaining close proximity to this information, we aim to offer the best practice support to our teams.

Responsibilities
  • Checking and auditing incoming and outgoing internal documentation and drawings received for consistency and accuracy
  • Issuing both internal and external documents via electronic document management systems
  • Checking external documentation is compliant with client requirements
  • Working across multiple projects with multiple project teams at one time
  • Formatting of documents
  • Communicating across internal departments and externally with clients and third parties
  • Involvement in creating project numbering, ensuring internal or client procedures are adhered to
  • Managing and maintaining Document Issue Registers
  • Maintaining and filing electronic documents
  • Creating projects as per internal procedure
  • Supporting the project teams with any additional administrative tasks they may need
  • Auditing project filing system for compliance with internal QA procedures
  • Assisting with managing the QA system
Qualifications
  • Experienced Administrator/Document Controller
  • Experience in working in a similar role across multiple online platforms is preferred but not essential
  • Excellent attention to detail
  • Excellent IT literacy
  • Knowledge in MS Office Word, Excel, etc.
  • Working knowledge in Acrobat Professional
  • Good verbal and written communication skills
  • Experience in a role which involves liaising with a diverse range departments, personnel, and organisations
  • Ability to work alone and in a team
  • Experience in managing own workload
  • Experience working in a fast‐paced environment and deadlines
  • Discretion and confidentiality
  • Time management skills
  • During quieter periods of document control, you will be required to support the engineering and admin teams
  • On occasion due to business needs, additional hours outside of main contract may be required
